AI Operational Assistant

The client was overwhelmed by manual financial operations that were stifling growth. Processing invoices involved a tedious loop: downloading attachments from emails, extracting data, entering it into QuickBooks, and matching it with bank transactions. This manual process took approximately 25 hours a month, was prone to human data entry errors, and significantly delayed monthly financial reporting. The founder found themselves spending valuable evenings and weekends on administrative grunt work instead of focusing on business strategy and expansion.

We architected a modular AI agent system using n8n and GenAI models. The system monitors a dedicated "bills" email address and connects directly to the company's financial stack. When an invoice arrives, the agent parses the PDF, extracts key details (vendor, date, amount, line items), and intelligently categorizes the expense. It then interacts with the QuickBooks API to create a draft bill entry. For ambiguous items, it sends a message to the team via Slack with a quick "Approve" or "Edit" button, keeping a human in the loop without the manual drudgery.
